Does the
traveler have a profile on file with the UCLA Travel Center? If not, you will need to have
information such as seat preference, frequent flyer information, form of payment, etc.,
readily available. Make sure that the traveler fills out a profile form for future trips. |
Which
airport is best? Let the counselor know if the traveler would like to leave out of LAX or
one of our smaller outlying airports (Burbank, John Wayne, Ontario, etc.). Also inform the
counselor if the traveler is willing to fly into alternative airports for the destination
city, for example: Newark vs. JFK, as these factors could alter the fare. |
Inform the
travel counselor if the days/times on which the passenger is traveling are firmly fixed or
if he/she has some flexibility. Once again, this information could make a difference in
the fare. |
Is the
traveler willing to be flexible on carrier preference, non-stop flights, etc., in order to
obtain the ABSOLUTE lowest fare? It is very important to let the counselor know about
this. |
Departure
or arrival times... Be sure to inform the travel counselor which is more critical. |
Will the
passenger be traveling out of the country? Make sure to obtain all pertinent information
from the travel counselor regarding passport and visa requirements. |
For
international reservations, inform the counselor as to whether or not the passenger is
willing to purchase a ticket through a consolidator. Be sure to discuss the limitations
this carries with the travel counselor. |
Will the
traveler need to book a hotel reservation? Indicate whether the traveler will be attending
a conference and if he/she is entitled to a special rate. Is there a first and second
choice for hotels? |
Will the
traveler need to book a car reservation? Determine how many people will be riding in the
vehicle in order to reserve the appropriate size. |
Will the
car be picked up and/or dropped off at a location other than the airport? |
Are any
special services required for the traveler? Any special requirements associated with the
trip should be noted. For example: booking a meeting room. |
