About the UCLA Corporate Card:

The UCLA Corporate Card is a GE MasterCard and is provided to University travelers free of charge as a tool for charging business travel and entertainment expenses.  Using the Card will allow you to keep your business and personal expenses totally separate.  Please note the UCLA American Express Corporate Card program has been replaced by the GE Capital MasterCard program.  All American Express Corporate Cards expire January 31, 2001.

Travelers can charge virtually all business travel- and entertainment-related expenses to the Corporate Card, including lodging, transportation, and meals. Unlike personal MasterCards, the GE Capital Corporate Card is a charge card; that is, the balance is due in full before the next billing. 

Effective in early 2001, travelers will be able to charge airline tickets to the University’s direct-bill (DBS) account.   In order to do so, you must submit to UCLA Travel an electronic PAC order for the amount of the airline ticket which you are charging to the DBS. Use of the direct-bill account eliminates the necessity of being out-of-pocket for the expense and having to submit a claim for reimbursement after the trip. Of course, you may choose to charge airfare to your individual Corporate Card, but will then be required to submit a reimbursement claim in order to be reimbursed for the expense.

Travel insurance:
 Travel Accident Insurance: Whether you charge your airline ticket to UCLA’s direct bill account or to your individual Corporate Card, you are automatically covered for $500,000 common carrier accidental death and dismemberment insurance while traveling by airplane, taxi, bus, or boat, when the fare has been charged to the Corporate Card.   Death benefits under this plan will be paid to the first surviving of the Cardholder’s spouse, children, parents, or siblings or to the estate of the insured cardholder.
 Lost Luggage Insurance: GE Capital provides lost/damaged assistance when the common carrier ticket was charged to your GE Capital Corporate Card.  The reimbursement will be the lesser of either the amount paid by the common carrier; or the difference between the “value of the claim” and the common carrier’s payment. Loss must be due to theft or misdirection by the carrier.

The Corporate Card will interface to UCLA’s new Web-based expense management system, allowing you to “prepopulate” electronic expense reports with electronic information about business charges.   This system will eliminate the need to complete a paper voucher, will simplify and speed the processing of travel claims, and will preclude the need to submit paper receipts in most cases.

Obtaining the Corporate Card

If you incur travel or entertainment expenses during the conduct of your business, you are eligible to obtain a UCLA Corporate Card.   Just click on GE Capital Corporate Card Application Form, print out and complete the application, and obtain the signature of your organizational/departmental administrator.   Submit the approved application to the UCLA Travel Center, attention Mindy Dietirch, 10920 Wilshire Center, Suite 130, Mail Code 143348.

You will receive your Corporate Card approximately 2 weeks after it has been received in the UCLA Travel Center. It will arrive in a plain white envelope with a Salt Lake City return address.  Do not mistake it for junk mail!  Enclosed with your GE Capital Corporate Card will be card activation instructions as well as an overview of the Corporate Card program.  Please read these instructions carefully.  You can begin using your new Corporate Card immediately, after activating your account through the 800 number.  Note: The security code to activate your account number is the last four digits of your social security number.

Cardholder Responsibilities:

UCLA employees are expected to use the Corporate Card and related ATM cash advances only for University business travel- and entertainment-related expenses that are reimbursable under University policies.

UCLA cardholders are responsible for paying all charges incurred during the billing cycle immediately upon receipt of the billing statement. Late fees or penalties incurred on the Corporate Card are not reimbursable, so it is important that you take the steps necessary to ensure that your bill is paid on a timely basis.
