Car Rental Information

2/15/2005: RENTAL VEHICLE ALERT
 
Effective immediately, UC Employees and Students are restricted from renting 15 passenger vans from rental car agencies for business or class activities due to safety concerns.  This is due to the National Highway Traffic Safety Administration's (NHTSA) determination that 15 passenger vans are unsafe in certain circumstances and more testing and studies are required. Our rental car companies will be directed to delete these vehicles from all University contracts until the National Highway Traffic Safety Administration has completed their investigations.

UCLA has a preferred agreement with Hertz Rent-A-Car, which provides us with some of the lowest rates in the industry.

Note: all rates include the highest levels of collision and liability insurance available.  Rates are exclusive of taxes and fees.

The following rates apply to all University travelers and are valid from 8/1/05 thru 7/31/06:

*All one day rentals commencing on a Tuesday and/or Wednesday will be charged an additional $3.00 surcharge.
** Daily surcharge rates may apply to certain cities

To take advantage of the preferred rates, you may make a reservation directly with Hertz via web or telephone or you may make your reservation through the UCLA Travel Center. Even last-minute reservations should be reserved using the UCLA Discount number.   That Discount Number is CDP-ID #71596.

 The Hertz agreement provides three-tiered pricing: 1) a rate for domestic US rentals outside of California, 2) a rate for California rentals originating at an airport, and 3) a rate for California rentals originating at a Hertz Local Edition location.  All rates include LDW and collision insurances. (Please note that in order to obtain the insurance coverage, the corporate ID #71596 MUST be used when reserving the vehicle.) These rates apply to all University travelers while on business and are extendable for related personal travel (insurance coverage is included for the entire trip, including the personal leg).

Travelers are encouraged to join Hertz Gold Club, free of charge, in order to take full advantage of the benefits offered by Hertz. Membership in the Gold Club allows a traveler to go to a preassigned car (the paperwork is in the car), and to drive the car from the lot (a drivers license will be requested upon exiting). If you are not a member of Hertz Gold Club, see the Hertz website (http://www2.hertz.com/goldcorp) for an application.  You will be asked for the UCLA CDP number which is 71596, and the UCLA promo code which is 5036.  Optional coverages should be “Declined.” Your membership number will then be returned to your email address.

If you are currently enrolled in the Hertz Gold Club, please update your profile at www.hertz.com.  You will need your Gold Number and current password (or you can request a new password).

 UCLA also has a secondary preferred agreement with Alamo Car Rental.  Alamo's discount number: 75796

In addition we have a third contract with Enterprise Rent-a-Car which was negotiated primarily for minivans, as Enterprise usually has a larger inventory of these vehicles.  Enterprise's discount number: NA32032

Renting a Car on your own

Renting a car while on a business trip requires a Corporate I.D. Number. Each car rental company has it's own unique number. Using this number will give you  UCLA/UCOP corporate rates along with car insurance. Purchasing car insurance or additional car insurance on your own will not be reimbursed. When making your reservations give the reservation agent your Corporate I.D. Number.
